Mini-coach pickup at Narita / Haneda, group transfer to Hotel Gracery Shinjuku (~75 min depending on traffic). JR Pass activation at the JR ticket counter en route. 4pm walk to Shibuya, Hachiko statue + Shibuya Crossing (cross 4 times for the photo, then watch from Starbucks Tsutaya 2nd floor). 5:30pm Shibuya Sky observation deck timed entry, 360° view at golden hour. Group dinner at Ichiran Shibuya, we pre-block the counter section so the whole group sits adjacent. 9pm Don Quijote Shibuya midnight crawl, tax-free assist, group buys souvenirs, Pokemon merch, anime kitsch, Tokyo Banana boxes for the office. Walk back through Yoyogi Park.

Lunch at Saryo Hosen near Ryoan-ji, yudofu (boiled tofu) set meal. 2pm Arashiyama, bamboo grove, Tenryu-ji Temple, the iconic foliage wall (Tenryu-ji's pond reflects the seasons). 5pm back to Kyoto. Group-friendly 4-star hotels in each city, all directly above or within 4 minutes of the major train station for Shinkansen / JR transfers without dragging luggage on stairs. Hotel Gracery Shinjuku has the famous Godzilla head looming over the building, great group photo, also 4 minutes from Shinjuku station. Hotel Granvia Kyoto is built directly above Kyoto Station so the Shinkansen transfer is escalator-only. Hotel Hankyu Respire is on top of Osaka Umeda, 30 minutes by JR loop to Universal Studios. All three confirm groups of 7+ twin rooms within the same wing for proximity. Breakfast spreads handle 14+ travellers without queue.

Group rate is built for 8 paying adults on twin-share. Below 8 we re-quote you onto our solo or couple itinerary at standard rates. The trip works well for 18–35-year-old anime/tech-leaning groups; we've also run it with mixed-age corporate teams (24–45). Robot Restaurant has a 4-year-old minimum but no upper age limit, and Universal Studios Japan height restrictions apply only on Mario Kart (102cm+). For under-18 travellers we adjust the Robot Restaurant slot timing.
Yes, with caveats. The 7-day pass covers Shinkansen Tokyo ↔ Kyoto ↔ Osaka and all JR-line trains in each city. Per-person cost is ~₹18,500 vs ~₹32,000 for buying tickets individually. Group block reservations on the Nozomi seat your group together. Note: 2024 prices went up ~70%; we still recommend it for this 8-day Tokyo–Kyoto–Osaka itinerary. Does NOT cover the express Tokyo Monorail to Haneda, we use Limousine Bus for airport transfers.

Yes, Day 4 morning is loose, so a group can do a Mt Fuji + Hakone day-trip optional add-on (₹7,500/person, 11h, includes ropeway, Lake Ashi cruise, Owakudani sulphur pools). The Pokemon Cafe slot is at 11am so you'd skip it; we'd swap for an alternate slot or bump the cafe to Day 3 where possible. Tell us at booking and we re-sequence.
Tokyo and Kyoto have growing vegetarian scenes (Vegan Bistro Jangara, Mumokuteki, T's TanTan inside Tokyo Station). The group dinners can swap to vegetarian alternatives where needed: Sushi Zanmai has cucumber/avocado rolls only, we add a Mumokuteki vegetarian set; Mishima-tei is sukiyaki (meat-heavy), we offer an Indo-Japanese vegetarian set in Higashiyama instead; Kani Doraku is crab, we swap to a Wakuden kaiseki vegetarian shojin meal. Tell us 2 weeks before departure.
March late + October are ideal, mild weather, no monsoon, but no peak-spike pricing. Cherry blossom (April 1–7) adds a layer if you want sakura backdrop on Akihabara photos but accommodation is 30–40% pricier. Avoid Golden Week (Apr 29–May 5), every train is full. Avoid mid-June to mid-July (rainy season) and August (hot, humid, typhoon-prone). November is excellent for autumn maple in Arashiyama.
Yes, with patience. Pokemon Cafe Shibuya releases reservations 31 days before each date at 6pm JST and books out in 2–3 minutes. We have a booking team that holds your slot. Studio Ghibli Museum is sold only via Lawson kiosks in Japan (foreign credit cards don't work on the standard channel), we have local partners who book on your behalf 4 weeks before travel. Both are confirmed in your travel confirmation email. The Pokemon Cafe booking is the single hardest reservation in the trip; this is one of the main reasons groups book through us.
